Digitalization of the Museum Fund of Ukraine: representatives of 12 leading museums began testing the prototype of the electronic register system

In 2002, as part of the cooperation of the Ministry of Culture and Information Policy of Ukraine with the Ministry of Culture and National Heritage of Poland and Solidarity Fund PL, the implementation of the project “Implementation of the electronic register system of the Museum Fund of Ukraine” was launched.

To date, the work on the development of the basic software of the electronic system of the MFU register continues. For effective work, a working group was created, which included representatives of 12 leading museums of Ukraine of various profiles: historical, natural, archaeological, artistic, etc.

The experience of the members of the working group will allow us to take into account all the needs of modern museum workers and to create a convenient and useful electronic recording system for values. It is these cultural institutions that participate in prototype testing, analyze the required functionality, provide recommendations for changes and will be the first to test future software.

The next stage of system implementation is an analysis of the level of computerization of museum institutions and already existing electronic recording systems used in Ukraine. Based on the results of the first stage and feedback from the museums, the software developers will analyze the business processes implemented in the electronic system and finalize it. In the future, the task of the Ministry of Culture and Information Policy of Ukraine will be to ensure the registration in the system of all institutions authorized to store objects of the Museum Fund of Ukraine, and in the end, to abandon paper recording.

The successful implementation of this project will allow institutions authorized to store objects of the state part of the MFU to independently integrate into the register system data on museum objects that are stored, restored, transported or lost in them. The register will be available for interaction with state and international systems and services for obtaining permits for the export of cultural values and further integration of Ukraine into the artistic community of Europe. In addition, the open data of the register will be published on an informational web resource for the promotion of Ukrainian art and museum collections.

The state part of the Museum Fund of Ukraine currently has more than 12 million objects. With the outbreak of a full-scale war, the need to digitalize museum resources of Ukraine has become urgent. With shelling, looting and destruction of museums, records containing all the important information about museum values are being destroyed.

The project is implemented by the Representative Office of the Fund of International Solidarity in Ukraine and is financed by the Chancellery of the Prime Minister of the Republic of Poland within the framework of the implementation of a public task entitled: “Implementation of the electronic register system of the Museum Fund of Ukraine”.
